A Typical Day in the Job
- Act as the day-to-day coordinator for SARs and IRs, managing the process from receipt to completion in line with Salutem procedures and UK GDPR requirements
- Log, acknowledge, and track SARs, ensuring identity checks and clarification requests are completed where required (under agreed templates/process).
- Log, acknowledge, and track IRs, ensuring the requestor has the legal authority to obtain the information and clarify requests where required.
- Create and manage SAR and IR action plans and timelines, coordinating searches and returns from services and central functions.
- Chase outstanding actions, maintain momentum, and escalate risks to deadlines (e.g., incomplete returns, complex cases) to the Regulatory Compliance and Policy Associate.
- Compile disclosure packs in a clear, structured and secure way, ensuring completeness and version control.
- Maintain accurate SAR and IR records and audit trails, including correspondence, decisions, and key dates.
Redaction and Disclosure Preparation
- Complete redaction of documents and images to required standards, ensuring third-party information and special category data is handled appropriately.
- Apply consistent redaction methods and quality checks to ensure redactions are effective and irreversible prior to disclosure
- Flag complex redaction decisions (e.g., third-party data, safeguarding concerns, legal sensitivity) for review/escalation in line with internal guidance.
- Support secure transfer of SAR disclosures to requestors using approved methods.
Information Governance Administration
- Maintain trackers and records relating to information rights requests (SAR and IR log), and support maintenance of other data protection logs as required (e.g., incident/breach log, DPIA tracker, training records).
- Support basic reporting by producing regular SAR metrics (e.g., volumes, completion times, overdue actions, themes) for internal governance oversight.
- Assist with controlled document management and secure filing to support inspection/audit readiness.
- Support the Regulatory Policy and Compliance Associate with data protection complaints, where required.
Stakeholder Coordination (Internal)
- Build effective working relationships with service leaders and central teams to support timely SAR and IR searches and returns.
- Provide clear, professional guidance to colleagues on what is required for SAR searches and how to return information securely (using agreed templates).
- Promote a culture of confidentiality and good information handling across the organisation.
- Champion a culture of data protection, embedding privacy by default across all activities and decision-making.

- strong organisation skills and ability to manage deadlines and multiple cases at once.
- Clear written communication skills (professional emails, accurate record keeping).
- Confident IT skills (Outlook, Word, Teams) and willingness to learn redaction tools and tracking/reporting (e.g., Excel).
- Ability to work calmly under pressure and escalate concerns appropriately.
- Willingness to travel as required for business needs
- Grade 4/C in Maths and English GCSE
Salary, Hours & Benefits
- Salary – £26,500
- Monday – Friday 9am-5.30p
- 25 Annual Leave+ bank holiday
